Voicemail
Each user has a personal voicemail box on the system. Most people prefer to have their voicemail integrated with their email, so that if a party leaves you a voicemail message, it will be delivered to your email inbox.
How do I setup my voicemail?
You need to perform these steps:
- Change your default voicemail password (initially it's set your your 4-digit extension)
- Record your name
- Record your busy greeting
- Record your unavailable greeting
To set these options
- Connect to your voicemail box by dialing #extension and entering your password followed by the # key.
- Press 0 for mailbox options.
- Follow the voice prompts to change your password, record your name, and record your various greetings.
What is my busy greeting?
This is played to the caller if your phone is set to Do Not Disturb or you explicitly Reject an incoming call while you're on the line.
What is my unavailable greeting?
This is played if your phone rings but nobody answers it.
What is my temporary greeting?
Your temporary greeting is an optional greeting that overrides all of your other greetings. You can use this to notify callers that you're out of the office, on vacation, etc. To set it up:
- Connect to your voicemail box by dialing #extension and entering your password followed by the # key.
- Press 0.
- Press 4.
- Record your greeting and press #. You'll be given different options to listen-to, re-record, and save your recording.
- Press 1 to save the greeting.
Note: If you record a temporary greeting, be sure to delete it when you return to the office. Here's how:
- Connect to your voicemail box by dialing #extension and entering your password followed by the # key. The voice prompt will state that you have an active temporary greeting.
- Press 0 to access your voicemail options.
- Press 4 to manage your temporary greeting.
- Press 2 to delete the greeting.
Checking your voicemail
How do I tell if someone has left me a voicemail?
If you have your voicemail configured to send to your email, the most convenient case, then when someone leaves you a message, it will get sent as a sound-file to your email address.
Otherwise, the red message waiting indicator light near the top of your Polycom phone will blink and a letter icon will appear on your screen next to your phone line. Once you check your voicemail, the red light will stop blinking.
How do I access or check my voicemail from my phone?
You access your voicemail internally by dialing #extension and entering your password followed by the # key. Note: this implies that you can check your voicemail from any phone in the company.
Alternatively, from your own phone:
- Press the Messages button.
- Select the particular line you wish to check, if you have more than one.
- Press the Connect button.
- Enter your voicemail password, followed by the # key.
How do I access or check my voicemail remotely?
- Dial your direct number (7- or 10-digits).
- When your call rolls over to your voicemail, press *
- Enter your voicemail password at the prompt, followed by the # key.
