Conference Calls

There are two ways to conference: directly through your phone in a three-way call, and through a multi-user conference call.

  • With your Polycom phone, you may conference only three people together, including yourself.
  • A multi-user conference call requires a bit more effort to join, but it has no limit on the number of people who can participate.

Three Party Conferencing

How do I establish a conference with two other parties directly?

To start the call:

  • Call the first party from your phone, or have them call your phone.
  • Once they answer, press the Conference button.
  • Dial the second number to conference in, and press Send. The first party will be placed on hold.
  • Wait for the second party to answer.
  • Once they answer, press the Conference button.
  • The first party will be taken off hold, and the three parties will be connected.

How do I exit a conference call I started without disconnecting the other two parties?

Hang up. The other parties will not be disconnected.

How do I transfer a conference call?

This allows you to switch phones you are using for the conference or allow you to leave the conference and have someone else join in your place on their phone.

  • Split the conference call by pressing the Split soft key.
  • Transfer the first call – answer the first call on the phone.
  • Transfer the second call to the same phone you transferred the first call to.
  • Place the first call on hold and answer the second call.
  • Press the More soft key, then press the Join soft key.
  • Your calls should now be connected together.

Multi-party Conferencing

How do I Use the multi-user conference system?

This is called MeetMe Conferencing.

There are two different types of users in a multi-user conference:

  • Admins (moderators) - there must be at least one of these
  • Regular Users

There can be as many Admins and Users as you like, but generally there's one Admin and the rest are users. The Admin group and the User group have different PIN numbers. They'll both use the same "room number".

For each conference room available, IT Freedom will provide your company with

  • one or more "room numbers"
  • the Admin PIN for each room
  • the User PIN for each room

There are two entry points to the MeetMe Conferencing System:

How to kick off a conference:

  • Coordinate a time for the conference. Have your Admin PIN handy. Inform the participants of the room number and the User PIN.
  • Dial one of the numbers above, and follow the self-explanatory prompts.

A User may call a conference room at anytime, but will be placed on hold until an Admin joins. The first caller is always placed on hold, even if it's the Admin; a conference never kicks off until at least two parties join.

To leave a conference, hang up. If the last Admin leaves the conference, and there are still participants in the room, they'll be placed on hold until another Admin joins.
